(2) If we want to write an inquiry to a firm for some information ,how do you think we should structure the letter ? (3) If you are asked to write a reply to an inquiry ,can you suggest any points for attention ?,3.2 Background information,An inquiry is a request for some information about a product the writer is interested in. Inquiries can be divided into two main types :a general inquiry and a specific inquiry. A reply to an inquiry is the response to the inquirer s requirements for some information about a certain product.,Question : W hat do you think is a proper w ay to make an inquiry ?,3.3 Sample letters,Read the following letters to see how they are worded and structured to make inquiries and give replies,3.4 Analysis and discussion,Read the first seven samples and try to find answers to the following question: W hat is the common purpose of these inquiry letters ?,Scan these inquiries again,then answer the following question How many parts can each letter be divided into and what s the function each part plays?,these inquiries usually include the following parts:,(1 ) Providing the background information for the inquiry (2 ) Identifying the purpose for the inquiry , e .g . being interested in the addressees products ,service ,or programs ,etc .; (3) Making inquiries or requests ,for example ,asking for the addressee s company profile ,product catalogue and samples ; (4) Expectation for a quick and favorable reply ,and express gratitude for any help that the recipient can provide ,Can you add anything more to the above list ?,How many parts can each reply letter be divided into and w hat sthe function of each part ?,Generally speaking ,a reply to an inquiry can be roughly divided into the following parts : (1)Acknowledging receipt of the inquiry (2)Giving replies This is the main part which aims to answer the inquiries as clearly as possible. (3)Expressing expectations and hopes ,Are you clear about the general formats for an inquiry and a reply ?,3.5 Points to remember,(1)Before settling down to write an inquiry ,the writer should be clear what he wants to achieve with this letter (2)The inquirer should state clearly and concisely what information he wants (3)Making the inquiry reasonable,Why should the reply be given fully ,promptly and courteously ?,(1)Give the reply to the inquiry promptly. (2)A reply should be polite.
